Learn how to export your order data from ChannelGrabber to send to a supplier or drop-shipper via Email or to FTP

Navigate to Data Exchange > Orders > Export.

1. First give your rule a Rule name - this is just an internal reference to make it clear inside CG what the rule does eg. "Supplier_Hourly_Orders":

2. Under Template, select which of your Order data mapping templates to use in this rule  (see guide on Creating Import and Export Data Mapping Templates if you have not done this yet):

3. Under Send to, select either an email address or FTP that you have previously setup in CG (see steps above in this guide) that you want us to send the data file to:

4.  Send From allows you to select which of your email addresses to send the data file from:

5.  File name tells ChannelGrabber what the filename format should be for the file when it is saved in the FTP or sent to the email address you have selected - we have tags that you can use to tell CG to look for {{type}}, {{date}} and {{time}} if your shipper uses these in their filename formats, or you can just create your own filename as long as your shipper knows what it's called so they can find it if they retrieve it from an FTP:

6.  Frequency tells ChannelGrabber how regularly to retrieve the CSV file from the FTP location:

  • Hourly

  • Daily

  • Weekly

  • Monthly

If selecting Daily, Weekly or Monthly, the When column will then load so you can set the hour of day, or Day/Date and time of day to have the file exported (this would usually be whatever your cut off point is for accepting new orders to be shipped that day, eg. you might decide that 2pm is your order cut off time so you would set this field to 14:00-15:00):

Important Note:When you select an hourly schedule under the When column, ChannelGrabber will take the orders from up to the start time (2pm in the rule above), and save the file, then then file will be exported at any time during the following hour (2pm-3pm in the above rule).  This is to prevent bottle necks if lots of users choose the same scheduled start time for their exports. 

7.  Use the Saved Filter to select which order criteria to filter by to provide the data that will be exported (see our guide on Filters if you are unsure how to setup and save your own filters in ChannelGrabber):

In this example I have chosen my "New Orders: 1-2kg" filter, which I have set to be all orders with "New" status where the total weight of all items in the order is between 1-2kg.

When you are happy with your rule, click the Save button in the Actions column:

Important Note:
The rule does not go live until you tick the Enabled box on the rule and saved it with the Save button in the Actions column (as in screen shot above), so you can have multiple rules saved but they can be enabled and disabled as needed:
