Learn how to import or export a stock or order file on demand rather than as a scheduled task

As well as scheduling regular stock and order file imports and exports, you may also want to do a one-off manual import or export using the templates you already created for scheduled tasks (see our guide on Creating Import and Export Data Mapping Templates first if you haven't done this yet).  

This guide tells you how to upload or download stock or order files on demand...

 

On-Demand Stock Template Imports

1.  Navigate to Data Exchange > Stock > Import

2.  First click the Choose File button and upload your stock file (must be in CSV format):

 3.  Select which of your existing templates to use to map the data from your file into ChannelGrabber:

4.  Select which stock action you want to file to take on your products in ChannelGrabber:

  • Set stock level - This will override your existing stock levels with the values in the spreadsheet you are importing.  This should be used when doing a stock take and reconciliation

  • Add to stock level - This will add the values in the spreadsheet you are importing on top of the values which already exist in ChannelGrabber.  This should be used when you have received new stock and are using a spreadsheet to add your new stock to ChannelGrabber

  • Remove from stock level - This will deduct the values in your spreadsheet from the values in ChannelGrabber.  This should be used if you are taking products out of stock, discontinuing a line, or moving stock into a fulfilment warehouse, for example.

5.  Click Upload and ChannelGrabber will process the data in your file according to the preferences you have chosen:

 

On-Demand Stock Template Exports

1.  Navigate to Data Exchange > Stock > Export


2.  Choose which stock data mapping Template you want to export:

3.  If you want the file export to be sent via email AS WELL as downloaded, tick the Send via Email option (it will send to the email address you are logged in with):

4.  Click the Download button to generate the CSV file and download to your computer:


 

On-Demand Order Template Exports

1.  Navigate to Data Exchange > Orders > Export


2.  Choose which order data mapping Template you want to export: 

3.  Choose which of your Saved Filters to apply to set which orders you want to export the data for (see our Filters guide if you have not created any saved filters yet):

4.  If you want the file export to be sent via email AS WELL as downloaded, tick the Send via Email option (it will send to the email address you are logged in with):

5.  Click the Download button to generate the CSV file and download to your computer:

 
 On-Demand Order Tracking Template Imports

1. Navigate to Data Exchange > Order Tracking > Import


2. First click the Choose File button and upload your order tracking file (must be in CSV format):

3. Select which of your existing templates to use to map the data from your file into ChannelGrabber:

4. Click Upload and ChannelGrabber will process the data in your file according to the preferences you have chosen:

When Tracking Numbers are uploaded using this method, the tracking info will be assigned to the relevant order in CG, and the order status will automatically be updated to "Dispatched", so that the tracking info can also be passed back to the relevant sales channel.
