Integrating Sage 50 with Cloud Commerce Pro

Cloud Commerce Pro integrates with Sage 50 using a special program called SageWatcher which feeds the necessary data between Sage and Cloud Commerce Pro.

This guide will walk you through the process of setting up Sage 50 to integrate with Cloud Commerce Pro.

1. Sage Setup

First of all you need to create a separate user for CCP in Sage. This is a very important step as failure to do so will result in your account locking up.

Navigate to "Settings" in Sage and click "Access Rights".

Create a memorable user name and password for Cloud Commerce Pro and ensure to give it full access. Also note that your password must be more than six characters long.

Once complete your new user will be shown as below. Click close to continue.

4. Further Information

Now we need some key information from Sage which we will input into CCP. To find this click "Help" at the top and navigate down to "About".

5. Back to Cloud Commerce Pro

Now you have the relevant information from Sage ready, put it to one side for now and head over to CCP. From the admin centre click "Configuration".

From the side menu on the left click "Accountancy".

7. Accounting

The accounting page shows all the accounting software that CCP currently integrates with. To setup Sage click "Edit" under Sage.

8. Sage Settings

Now you have the Sage Settings window in CCP which you can fill in using the details we brought up in Sage in step 3.

  1. Sage username and password are the ones we created in step 2.

  2. Sage version number is shown in Sage as shown below.

  3. Sage company name is simply the company name you normally use in Sage.

  4. Start date is the date you want to start processing transactions.

  5. Set your status to "Active" once you are ready to begin processing transactions. If you have set a future start date you can set this to active now. If not, wait until you have completed further steps.

  6. The Sage data path can be found next to "Data Directory" in Sage as shown below.

To begin setting up your sales channels for Sage, click "Edit" besides the channels name.

10. Sales Channel Setup

This is the information for the sales channels. Keep reading for a breakdown of each field and where to find that information.

Sales Nominal - To find the sales nominal navigate to the side menu on the left in Sage and click "Nominal codes". This will bring up a list of your sales channels, each with an assigned number besides. Find the number for the sales channel you are currently configuring.

P & P - Postage and packaging is often configured under a separate code in Sage such as "4900 - Miscellaneous Income" as shown below. If this is left blank, all P & P will be posted to the code entered for the Sales Nominal field.

FBA Nominal - The FBA (Fullfilled by Amazon) field is used when you want to post FBA sales to a separate sales ledger account. If this is left blank, these sales will be posted to the code entered for the sales nominal field.

Bank Nominal - Your bank codes can be found in Sage from the side menu on the left by clicking "Bank accounts".

Sales Currency & Payment Currency - These should be set to the currency in which the transactions are to be fed into Sage. For example, you might have specific sales channels for certain European countries but still have those transactions feeding into Sage as GBP.

Payments - This section is comprised of a list of payment types for each of your sales channels as well as the payment gateways configured for that channel. These can be found in Sage also under "Bank accounts" from the side menu.

11. SageWatcher

Now you have configured both Sage and Cloud Commerce Pro to work together, it is time to install the SageWatcher software to allow the two to communicate. Click the button below to start the download.

12. Login

Once you have downloaded and installed SageWatcher, run the program and you will be met by the login screen. Your username and password are the same as the ones you use for CCP. The number at the bottom left should be set to your Customer ID number. If you are unsure what this is, head over to the admin centre in CCP and you will find it at the top right of the page as pictured below.

13. Running SageWatcher

When logged in SageWatcher will appear as shown below. Once up and running the blank white area below "Action" will start displaying processing data messages.
