CG - Updating Stock via the Data Exchange

When it comes to controlling stock levels for your products in ChannelGrabber, there are a few options. You can update stock levels individually on your Products page, or you can use the Stock import option on the Products page to update stock in bulk.

You can also update stock levels in bulk using our Data Exchange. Using the Data Exchange for this is useful as you will be able to see the History of any stock files that you have imported into the system. The Data Exchange is also much more robust when it comes to downloading / exporting your data.

Setting up a Template

If you are looking to import or export stock information from the Data Exchange, you will first need to set up a Template.

  1. Click New to set up a new template.

  2. Under Channelgrabber Field select: SKU, Product Name, Total Stock.

  3. Under File Column Header enter the names that will be assigned to each field.

  4. Enter a Template Name.

  5. Save the Template.

You now have a Template set up.

Exporting Data from the Data Exchange

Once you have your Template set up, you can use it to export Product information from the Data Exchange.

  1. Select the relevant Template that you have set up.

  2. Click Download.

A csv file will then be generated with the headers and fields that you have set up for your Template.

Importing Stock data via the Data Exchange

Now that you have a file, formatted with the correct headers, you can use the csv to make adjustments to your stock levels. Make any changes needed (you can remove any un-needed rows) and save the file.

To import the csv back in to ChannelGrabber:

  1. Click Choose File and select the stock csv from your computer.

  2. Select the Template that you have set up.

  3. Select the relevant Stock Action that you want to perform: Set Stock Level, Add to Stock Level, or Remove from Stock Level.

  4. Click Upload

ChannelGrabber will now process the stock import file that you have provided. You can leave this page, and you should see progress of the import in the History tab of the Data Exchange.

Troubleshooting

Most common issues are caused by the csv file having different column headers to those specified in the Template. Note that the File Column Header field is case-sensitive, and the headers need to match exactly so that ChannelGrabber understands where the data needs to go.

It is also worth noting that only the Total Stock can be updated in this way: Available Stock can be exported, but not imported / updated.

Total Stock represents the Total Stock that you have for an item - this will include Available Stock and Awaiting Dispatch Stock. You can check the Awaiting Dispatch Stock for any skus by clicking the Stock tab on the Products page.
